We created a comprehensive system that automates cold email outreach, leveraging a suite of powerful tools and integrations. The goal was to improve the efficiency of lead generation by automating the manual tasks involved in finding leads, personalising outreach, and managing follow-ups.

The system integrates with Google Workspace for professional email management, ensuring reliable email delivery through proper domain configuration and authentication. We utilised Instantly for cold email automation, PhantomBuster for scraping potential leads from LinkedIn, and Anymail Finder for validating email addresses. Additionally, Make.com was employed to personalise emails using AI, generating customised icebreakers and maintaining organised data flow through Google Sheets.

  • Domain Setup: We secured custom domains for the company and configured them to optimise email delivery, helping avoid common issues like spam filters.
  • Cold Email Automation: We utilised Instantly to automate the cold email process. This allowed us to gradually build up email activity to avoid spam traps, efficiently manage large-scale email campaigns, and automatically handle follow-ups based on recipient behaviour.
  • Lead Generation: Using PhantomBuster, we automated the collection of potential leads from LinkedIn, gathering key information such as names, job titles, and company details to build a comprehensive outreach list.
  • Email Verification: To maximise the success of our email campaigns, we verified each email address using Anymail Finder, ensuring we only contacted valid and active emails to reduce bounce rates.
  • Personalised Outreach: We used Make.com to automate the personalisation of each email. By leveraging AI, the system generated unique opening lines tailored to each lead, making the outreach more engaging and increasing the chances of a positive response.

    Our automated outreach system utilises Make.com to integrate various components of the tech stack seamlessly. The process begins with scraping lead data from LinkedIn using PhantomBuster, capturing essential details such as names, job titles, and company information. This data is then stored in Google Sheets, where Anymail Finder is used to verify and validate email addresses.

    Once the email addresses are verified, the system employs Instantly to warm up the new email accounts, gradually increasing the sending volume to build a good sender reputation. The cold email campaigns are then automated, with Instantly managing both the initial outreach and subsequent follow-up sequences based on the recipient's engagement.

    To personalise the email content, Make.com connects with GPT-4 via API to generate unique icebreakers for each lead, which are automatically inserted into the emails. The entire process is automated, from data extraction to email personalisation and sending, ensuring a consistent and efficient outreach effort.
